IMPORTANT NOTICE REGARDING HEALTH DATA: This Website Privacy Policy applies ONLY to information collected from visitors to our marketing website (e.g., for lead generation, demo requests, or general inquiries). It does NOT apply to Protected Health Information (PHI) processed by the SignalCare Application. All PHI processing is strictly governed by the individual Business Associate Agreement (BAA) and our Master Terms of Service.

We collect personal data that you provide to us, data we collect automatically, and data from third parties.
a. Direct Interactions (Information You Provide) We collect information you voluntarily provide when you express interest in SignalCare. This includes:

  • Contact Data: Name, business email address, phone number, and mailing address.

  • Professional Data: Organization name, job title, and facility type.

  • Communication Data: Any information submitted through contact forms, demo requests, or email inquiries.

  • Financial Data: If you purchase a subscription, payment-related information (credit card or ACH details) is collected directly by our third-party payment processor, Stripe. We do not store or see your full financial credentials on our servers.

b. Automated Technologies (Cookies and Tracking) As you interact with our website, we automatically collect technical data about your equipment and browsing actions via cookies, log files, and web beacons. This includes:

  • Identifiers: IP address, browser type, and device identifiers.

  • Usage Data: Pages visited, time spent on the site, referring URLs, and links clicked.

  • Analytics Providers: We use tools like PostHog and Google Analytics to understand site traffic. These tools may collect non-identifying technical information to help us improve user experience.

 
2. How We Use Your Information


Following the "minimum necessary" principle, we use your data to:

SignalCare is built for healthcare compliance. To protect the integrity of the sector:

  • AI Ethics: We do not use customer data or PHI processed in our application to train public AI models (such as those provided by Google or OpenAI).

  • Data Minimization: Our application utilizes an ephemeral processing model where healthcare documents are automatically purged within 24 hours to reduce data "at rest" risks.

 
4. Data Sharing and Disclosure


We may disclose personal data in the following limited circumstances:

  • Service Providers: With trusted vendors (hosting, analytics, CRM) who are contractually bound to maintain confidentiality and security.

  • Business Transfers: In the event of a merger, sale, or acquisition, personal information may be transferred as a business asset.

  • Legal Requirements: To comply with a court order, law, or legal process, including responding to government or regulatory requests.

  • Safety and Rights: To protect the rights, property, or safety of SignalCare, our employees, or our customers.

 
5. Washington "My Health My Data" Act Disclosure


SignalCare LLC is a Washington-based entity. We do not collect, share, or sell "Consumer Health Data" (as defined by the WA My Health My Data Act) for marketing or advertising purposes via this website. All health-related data processing is performed within the SignalCare Application environment under HIPAA-compliant safeguards and Business Associate Agreements.
 
6. Data Security and Retention

  • Security: We implement commercially reasonable administrative, physical, and technical measures (including AES-256 encryption and TLS 1.3 protocols) designed to protect your data.

  • Retention: We retain website visitor information only for as long as necessary to fulfill marketing purposes or comply with legal requirements. If you request deletion of your contact info, we will fulfill such requests subject to our legal record-keeping obligations.
